Creating Products with Variants or Attributes Using the AI PO Tool

Use the AI PO Tool to create and receive products with variants or attributes directly within the purchase order import flow.

The AI PO Tool now supports creating new products with variants or attributes directly within the purchase order import flow. This means you no longer need to set up complex products manually before processing an invoice — you can build them seamlessly as part of receiving your PO.


Overview

Previously, products with variants or attributes had to be created in your catalog before you could include them on an AI purchase order. With this update, you can identify line items on an invoice that belong together, merge them into a single product, define the attributes or variant options, and map each line item to the correct variant — all without leaving the AI PO import flow.

This is especially useful when:

• You are purchasing from a new vendor for the first time and need to create all products from scratch.

• An invoice includes items sold in multiple sizes, colors, or other variations.

• You want to create and receive a PO in one streamlined workflow.

Step 1: Upload Your Invoice and Configure Options

Navigate to the AI PO Tool and upload your invoice file. Before proceeding, review the available options:

• Exclude bundles from product suggestions

• Limit product suggestions to the selected vendor

• Auto-sync new products to sales channels — turn this on if you want newly created products to be set to active immediately.

• Lot cost update preference — choose whether the new cost should update the lot cost only, the default cost, or the location-specific cost.


Step 2: Review Extracted Line Items

After upload, the tool displays all extracted line items from your invoice. Review these to confirm the data was read correctly — check product names, quantities, costs, and any codes.


Step 3: Merge Line Items into a Product with Variants or Attributes

When you see multiple line items that represent variations of the same product (for example, the same shirt in different sizes and colors), you can merge them into a single product.

1. Select all the line items that belong to the same product by checking their checkboxes. Click the vertical three-dot menu (⋯) at the top of Line Item list

2. Select Merge selected items as a product with variants.

3. Create the items as variants, or select Use Attributes.


Step 4: Define Attribute or Variant Options

After merging, you will be prompted to define the attribute or variant names for the product.

If using Variants:

Simply type in the variant names you will need.

If using attributes:

1. Enter the attribute name (for example: Color, Size, Style).

2. Enter the options for that attribute (for example: Charcoal, Honey; or Extra Small, Small, Medium).

3. Add additional attributes if the product has more than one dimension (for example, both Color and Style).

Note: You will need to type in the attribute names and option values manually. These become the official attribute labels in your catalog, so use the naming convention your business prefers.


Step 5: Map Line Items to Variants

Once your attributes and options are defined, map each original line item from the invoice to the correct variant combination.

For example, if you defined Style (Quartz, etc) and Size (XXS, XS, S and so on), you would map:

• Line item 1 → Quartz/ XXS

• Line item 2 → Quartz/ XS

• Line item 3 → Quartz / S

And so on for all combinations present in the invoice.

Note: Some invoices use clear naming conventions that make mapping straightforward. Others may require closer attention. Take your time to ensure each line item is mapped to the correct variant before applying.


Step 6: Review Variant Details and Apply

After mapping, click Apply. You can then review each variant individually and adjust additional product details such as:

• Cost per variant

• SKU or barcode

• Category

• and more!

The tool carries over key fields from the invoice automatically, including quantity ordered, price, SKU, barcode, and discount — so you only need to fill in what is missing or different per variant.


Step 7: Complete the PO

When you are satisfied with the product and variant setup, click Next to proceed. You can then select to Draft a PO, Create, or Create and Receive to finalize the purchase order and receive the inventory into your catalog in one step.

Your new products with variants or attributes will appear in your catalog as fully structured products, ready to use.


Things to Know

• Use the Auto-sync new products to sales channels option at the start of the flow if you want them to be active immediately.

• Invoice reading accuracy: The tool uses AI to extract data from your invoice and results may vary depending on the file format and layout. If items are missing or not read correctly, try adjusting the formatting of your invoice file before re-uploading.
