Setup Guide for Square Hybrid Sync

Thrive’s integration with Square Hybrid Sync lets you connect your Square and Shopify accounts, with Square serving as the central source of truth for your catalog. This setup gives you flexible control over your products and inventory across both platforms, all from one unified location in Square. This guide outlines example workflows for different scenarios—choose the path that best fits your current setup.

⚠️ Important: These setup steps are examples and may not apply perfectly to every account. If you’re unsure which setup is right for you, please reach out to Customer Care before proceeding.

⚠️ Important: Square Hybrid Sync must be enabled on your account for these setups to work. These instructions are specific to the Square Hybrid Sync option and do not apply to all accounts.


Option 1: Not Using Square or Shopify Yet

If you’re starting fresh with Square or Shopify—meaning neither integration is set up and you’re building your catalog from scratch—follow these steps:

  1. Upload your products into Square.

  2. Connect Thrive to your Square account if it’s not already connected.

    This can be done from the Locations & Integrations Page in your Settings. Find out more on this process here.

  3. Import your products from Square into Thrive

    When Prompted to import from Square, select 'Yes' to all options.

    Ensure the import is complete on the Tasks Page before moving forward.

  4. Connect Shopify to Thrive to prepare for online sales.

    If you want Shopify to share the same quantities as Square - connect it to the same location as Square in Thrive. Do not create a 2nd Location. Watch a quick video on Connecting a 2nd integration to a location here

  5. Decide in Square which products should be enabled for Shopify to control which items are available for eCommerce. (At this stage, you can begin managing your inventory directly in Square.)


Option 2: Using Shopify but Not Square Yet

This workflow is for businesses already using Shopify but who haven’t setup a catalog on Square yet.

  1. Chat into Customer Care to have them opt your account out of Square SOT (this is only temporary, but necessary for setup)

  2. Connect the empty Square account to Thrive.

  3. Connect Shopify to the same location in Thrive and import your products when prompted.

    Do not create a 2nd Location! Watch a quick video on Connecting a 2nd integration to a location here

    Ensure the import is complete on the Tasks Page before moving forward.

  4. Export your products from Thrive to Square.

  5. Chat into Customer Care to have them opt your account back into Square SOT

  6. Begin managing products in Square (unless you opt out of Square as the source of truth).

Optional: Transfer costs and vendor information:

  • If you have costs and vendors in Square, these will not transfer automatically. Thrive will help to transfer these over for you.

  • Send your Square for Retail download to implementation@thrivemetrics.com

  • Within 1–2 business days, Thrive will return the URL of a Bulk Edit Quantities Sheet via email for you to review and upload.


Option 3: Using Square but Not Shopify Yet

For businesses already using Square who want to start selling via Shopify.

  1. Connect your Square account to Thrive.

    Import your Products when prompted. Ensure the import is complete on the Tasks Page before moving forward.

  2. Open a Shopify account and connect it to Thrive.

    Do not create a 2nd Location! Watch a quick video on Connecting a 2nd integration to a location here

  3. In Square, select which products should be sent to Shopify.

  4. Complete additional eCommerce details in Shopify, including:

    • Shipping information

    • Metafields

    • Collections

    • Photos, etc.

Optional: Transfer costs and vendor information:

  • If you have costs and vendors in Square, these will not transfer automatically. Thrive will help to transfer these over for you.

  • Send your Square for Retail download to implementation@thrivemetrics.com

  • Within 1–2 business days, Thrive will return the URL of a Bulk Edit Quantities Sheet via email for you to review and upload.
